Custom Patches for Teams, Schools and Uniforms: A Buyer's Guide

Ordering patches for a sports team, school program, or staff uniform is a different animal from a one-time order for a single brand. There's usually a season-long budget to plan around, an approval process that isn't just one person's decision, and a real chance you'll need to reorder mid-year when a new group joins. Here's how to plan for all of it.

Matching the patch type to the gear

Different parts of a uniform program tend to call for different patch types:

  • Letterman jackets and varsity gear — chenille is the traditional choice for a reason; it's bold, textured, and reads as "earned" rather than printed.
  • Staff and coach polos, team bags — embroidered is the durable, professional default for anything worn week after week.
  • Detailed mascots or crest logos — if your mascot has fine linework or small text (a founding year, a motto), woven will keep it legible where embroidery would blur it.
  • Outdoor or all-weather programs — PVC holds up on gear that lives outside, like equipment bags and outdoor training kits.

It's common for one program to use two or three patch types across different pieces of gear — that's normal, not overkill.

Budgeting across a season, not just one order

The per-piece price drops a lot as quantity goes up, so it's almost always worth ordering for the full season (or year) roster at once rather than in small batches as players join. If you know a program adds 10–15 new members partway through, ask about it upfront — because digitizing is a one-time cost, a mid-season top-up order is usually cheap to add once the initial design work is already done.

For reference, here's how the per-piece price typically scales for a straightforward embroidered logo:

QuantityPrice per patch
25 pcs$2.65
50 pcs$2.15
100 pcs$1.75
250 pcs$1.35

Working with booster clubs, PTAs, and school approval processes

If you're ordering on behalf of a booster club, athletic department, or school, there's usually more than one person who needs to sign off — a coach, a treasurer, sometimes a district purchasing office. A digital proof is genuinely useful here beyond just quality control: it's something concrete you can forward to a committee or a group chat for approval instead of trying to describe the design in words.

If your program works through purchase orders or invoicing rather than paying upfront, mention that when you request your quote — it's a common enough request that we can usually accommodate it, but it's easier to set up before production than to retrofit afterward.

Planning for reorders

Rosters change every year. The most efficient programs keep their approved design and specs on file so a reorder next season is just a quantity and a shipping address, not a redesign from scratch. When you place your first order, it's worth explicitly asking that your design and specs be kept on file for exactly this reason.
